What will you be responsible for?

As Office Coordinator, you will work as part of the Operations team to ensure effective day-to-day running of our facilities and to execute continuous improvements to our operational processes.

Office and Facilities Management:

  • Organise physical and online data
  • Coordinate facilities maintenance with external vendors
  • Implement Health & Safety procedures and ensure day-to-day compliance
  • Maintain the key supplies to ensure the smooth running of the office: equipment, stationery, kitchen supplies, refreshments, etc.
  • Provide general support to create an enjoyable and productive office environment

Reception Duties:

  • Manage company enquiries by phone call and email
  • Be the first point of contact for greeting visitors to our facility
  • Manage deliveries and logistics

HR Support:

  • Respond to candidate queries
  • Arrange interviews using our Applicant Tracking System
  • Organise team events

Procurement:

  • Purchase office and technical items in a timely and accurate manner
  • Track shipments and ensure deliveries are received

There will be opportunities to get involved with other areas of Operations, depending on your interests and background.

Location:

Oxford. Hybrid with 3-4 days in the office per week.

Requirements:

  • Proven track record in effective task management, project coordination and teamwork
  • Previous experience working in an office environment, ideally within a startup
  • Excellent Communication (written & verbal) – accurate and professional
  • Excellent administration & organisational skills

Desirable additional skills:

  • Office and Facilities Management experience
  • Experience in procurement, shipping logistics and customs
  • Qualified first aider - training can be provided if necessary
